Terms of Service

1. Your Account

To use Shepherds Inbox, you must create an account representing your church or organization. You are responsible for:

• •Providing accurate information when creating your account
• •Keeping your login credentials secure and confidential
• •All activity that occurs under your account
• •Notifying us promptly if you suspect unauthorized access to your account

You must be at least 18 years old and authorized to enter into agreements on behalf of your organization to create an account.

2. Acceptable Use

Shepherds Inbox is built for churches and faith-based organizations to manage volunteers and visitors. You agree to use it only for lawful purposes and in ways that are consistent with that intent. You may not:

• •Use the service to send spam or unsolicited communications
• •Upload or transmit malicious code or content
• •Attempt to gain unauthorized access to our systems or other users' accounts
• •Resell, sublicense, or redistribute access to the service without our written consent
• •Use the service to collect or store data in violation of applicable privacy laws
• •Violate any applicable local, state, national, or international law or regulation

We reserve the right to suspend or terminate accounts that violate these terms without prior notice.

3. Your Data — You Own It

Your church owns its data. Volunteer records, visitor records, ministry configurations, intake form submissions, and communication history all belong to you. We do not claim ownership of any content you upload or create using Shepherds Inbox.

By using the service, you grant us a limited license to host, store, and process your data solely for the purpose of delivering Shepherds Inbox to you. We do not use your congregation's data for advertising, research, or any purpose other than operating the service on your behalf.

You are responsible for ensuring that any data you collect through Shepherds Inbox — including volunteer and visitor information — is collected in compliance with applicable privacy laws and with appropriate notice and consent.

4. Free Trial

New accounts receive a 14-day free trial with full access to all features. No credit card is required to start your trial. At the end of the trial period, you'll need to enter payment information to continue using the service. If you choose not to subscribe, your account will be paused and your data will be retained for 90 days before permanent deletion.

5. Payments & Billing

Paid subscriptions are billed monthly or annually via Stripe. By subscribing, you authorize us to charge your payment method on a recurring basis at the selected billing interval.

• •Monthly plan: Charged each month on your billing anniversary date
• •Annual plan: Charged once per year; not prorated for early cancellation
• •All prices are in USD and do not include applicable taxes
• •We reserve the right to change pricing with 30 days' notice to existing subscribers

Payment card details are handled entirely by Stripe — we never store your card information directly. If a payment fails, we'll notify you and allow a grace period to update your payment method before suspending access.

6. Cancellation

You can cancel your subscription at any time from your account settings. Cancellation takes effect at the end of your current billing period — you won't be charged again, and you'll retain access until the period ends. We don't offer prorated refunds for partial billing periods, but if you believe you were charged in error, contact us and we'll make it right.

After cancellation, your data is retained for 90 days in case you want to reactivate, then permanently deleted. You can request immediate deletion by contacting [email protected].

7. Service Availability

We work hard to keep Shepherds Inbox available and running smoothly. However, we don't guarantee uninterrupted access. We may take the service down for maintenance, updates, or reasons beyond our control. We'll make reasonable efforts to notify you in advance of planned downtime.

We reserve the right to modify, suspend, or discontinue any part of the service at any time. If we discontinue the service entirely, we'll give you at least 30 days' notice and help you export your data.

8. Intellectual Property

Shepherds Inbox, including its design, code, features, and branding, is owned by Steward HQ LLC and protected by applicable intellectual property laws. These Terms do not grant you any rights to use our trademarks, service marks, or logos.

You retain full ownership of any content you create or upload using the service (see Section 3).

You agree to indemnify and hold harmless Steward HQ LLC and its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable attorneys' fees) arising from your use of the service, your violation of these Terms, or your violation of any third party's rights.

11. Governing Law

These Terms are governed by the laws of the State of Texas, without regard to its conflict of law principles. Any disputes arising under these Terms shall be resolved in the state or federal courts located in Bexar County, Texas, and you consent to the personal jurisdiction of those courts.

12. Changes to These Terms

We may update these Terms from time to time. If we make material changes, we'll notify account administrators via email at least 14 days before the changes take effect. Continued use of Shepherds Inbox after that date constitutes acceptance of the revised Terms. The current version is always available at shepherdsinbox.com/terms.html.
